To explain the 'defrag' process for a Tenant Pro data file.

NOTE: YOU CANNOT REPACK A SEGMENTED DATA FILE


A Tenant Pro data file, like your computer’s hard drive, may begin to have “empty space” due additions and deletions in the file. This can cause the data to be stored inefficiently and slow your response time. Your computer has the ability to “defragment” the hard drive which is the same as cleaning out the empty spaces and organizing the files more efficiently. Tenant Pro 6.0 also has a similar procedure, called Re-Packing a Data File, to clean up the empty space within a data file.

Be aware that this can be a lengthy procedure. It can take a few minutes to a several hours, depending upon the size of your data file and the speed of your equipment. To get an idea of the time it may take, note that a QuickTour data file of about 1.3 MB, takes approximately one minute to Re-Pack on a 600 MHz computer.

You must run the Re-Pack procedure from the same machine on which the data file is located. Do NOT run Re-Pack across a network.

There is a limit of 255 characters for the path and name of the data file for the Re-Pack procedure. If the path and name exceeds 255, it will need to shortened by renaming the file or moving the data file to a different directory.

NOTE: The Re-Pack procedure will set the Administrator Preferences back to default. Please write down your Administrator Preferences before running the Re-Pack procedure. To do so, go to Setup>Preferences>Administrator Preferences and type in the Admin password (default is “admin”).

If multiple users are working on a network, all users except the individual who will perform the Re-Pack must close out of Tenant Pro before proceeding.

  1. Backup your data file.
  2. From the File menu, select Data Utilities.
  3. Respond YES if you have made a backup.
  4. Enter LETMEIN as the password and click OK.
  5. Select the “Advanced II” tab. (the password is “ADVANCED”)
  6. Click on the Process button for Re-Pack Data File.

    In the Re-Pack Data File window, you may change the file name of the Archived File Name if you wish. This is the name under which an exact copy of your data file will be made. The default name is your current data file name followed by the date of the Re-Pack.
  7. Click the Re-Pack Data button to initiate the procedure.

In the Status window, you will see each file as it is reviewed and processed. What is actually happening is that your data is removed from the existing data file, then copied back into your data file from the archived copy in a clean and orderly manner. When it is finished, Tenant Pro 6.0 will restart and open the data file that was just Re-Packed.

This process could take several hours. There may be messages that have to be acknowledged before you can leave the process unattended. They are shown below:
